gorelate has implemented an event check-in app for a client who regularly hosts large congresses and events.

The principle is simple: Each participant receives a QR code by email, which will then be scanned directly at check-in on the day of the event. The registration staff see at a glance who the participants are, which sessions they have booked and whether the entrance fee has already been paid. In addition, the attendees automatically receive a printed badge, for instance with their name and personal QR code, allowing for faster and easier admission to the sessions booked. The fact that the event check-in app also works offline is a huge advantage because often there is no stable internet connection at congresses and large events.

Event check-in with QR code or search function – also offline

In addition to the check-in function, all important information about the event can be displayed in the app. In the background, the app is linked to Dynamics 365 Marketing. So if, for instance, a user wants to call up the entire list of participants or search for individual attendees, there is no need to log in to Dynamics, as the app also works offline. Participants who have checked in will be uploaded to the CRM as soon as the internet connection has been restored. The list of participants can be called up and searched offline as well.

The event check-in app was implemented by Simon Molden, technical consultant and our app specialist, as a Canvas Power App. "The best thing about Canvas Apps is that they make complex and time-consuming processes that we frequently encounter in our daily work much simpler to use. There is no need for many different clicks in the Dynamics environment, with the app many things can easily be linked and all relevant information can be displayed on a single screen," he tells us. "Even process steps that are based on each other can be mapped much more easily without the users without the users needing previous experience with the actual Dynamics platform."
