For the European Forum Alpbach, gorelate implemented Dynamics 365 Marketing & Sales.
The initial situation
- Dynamics 365 Marketing was already in use, as was another event management tool
- Tool was not sufficiently integrated with Dynamics 365
- Dynamics 365 Marketing App could not be fully utilised
The demand
- Event management: Manage sessions & room bookings, manage speakers & sponsors
- Ticketing: Set up a ticket shop, coordinated invitation management, integration of payment providers & invoice sending
- Mapping the complex ticketing structure with different categories, time periods and subject areas
The decision for gorelate
„gorelate has already been very specific, professional and precise in preparing the offer to address our requirements and has impressed and convinced with the depth of the questions – and above all, the system solutions“, says Christiane Schwaiger from the Forum Alpbach.
The implementation
- Start in February, Go-Live by June 2021 (Start of ticket sales)
- Implementation of Dynamics 365 Marketing & Sales by then
- Together with long-term partners FOCUST Management & IT Consulting and Cookis Webworks, building a ticket shop and direct connection to Dynamics 365
The challenges
- Time pressure & Scope of requirements
- Important therefore: Flexible and agile approach „on the go“
- Project manager Manuel Schalleck: „We were able to quickly build an understanding of the ticketing structure and also remain flexible when, for example, the category structure of the tickets was changed. This is how the go-live also worked on time!“
The organisation
- Organisation of all parties involved via DevOps project: collection of all tasks, categorisation & prioritisation
- Regular meetings for coordination
- Above all, good communication proved to be the key to a jointly successful project
- Individual training of the EFA team, thereby enabling them to implement more and more themselves
The technical highlights
- Just before go-live, Microsoft released a new feature for Dynamics 365 Marketing: Real Time Marketing – even during the go-live phase, Real Time Customer Journey was implemented
- This enabled automation & personalisation of the customer journey – including real-time updates & tailored offers during the event
- Integration of payment options directly in the ticket shop, which was seamlessly connected to Dynamics 365 – implementation via the payment service provider Stripe
