In search of a solution to manage patient data efficiently and securely, Kinderhospiz Netz opted for gorelate and Dynamics 365. A conversation with Deputy Chairwoman Irene Eberl and Senior Consultant Nora Fröhlich.

What was the initial situation? What was your problem?

Irene Eberl: We didn't have a database. Our team has grown a lot in the past few years and we have also been supporting more and more families. Consequently, there was such an abundance of data that some data records could no longer be found. This led to long searches for files and sometimes even to information being lost. In addition, the same data was often stored in different locations, which meant that a record was changed in one place but not in another.

Why did you choose gorelate and Dynamics? 

Irene Eberl: We already had a Microsoft environment in place and therefore hoped for smooth integration. The Microsoft licensing model is another advantage – you are always at the cutting edge of technology and use one of the world's most secure cloud systems. The commitment and positive energy of the gorelate team in all preliminary meetings finally convinced us to choose this system and them as our partner.

Nora, could you tell us something about the challenges and the implementation?

 "One of the most important aspects of the implementation was the security concept. For instance, it had to be ensured that only members of the palliative team have access to medical diagnoses. From a data privacy point of view, patient data are particularly sensitive. At the same time, the system had to be simple, self-explanatory and practical for all users, so that even non-IT-savvy users would enjoy using it on a daily basis."

In addition to recording family, institutional, patient and sibling data and the like, in the future all patient appointments will also be documented. Excursions with children from the sibling group (hiking days, Christmas market, etc.) can also be recorded in the CRM with photos, videos and voice messages. Thanks to OneNote and SharePoint integration, the creative options are limitless.


We have also created a time registration system that allows our entire staff, including volunteers, to easily and quickly view their working hours. In the case of full-time staff, these records are used as a basis for payroll accounting. If requested, the records can also be exported to Excel at the click of a button.

Irene, have you been satisfied with the CRM so far?

Irene Eberl: : We are really satisfied with the support from the gorelate team. They understand our needs and, with the help of the Microsoft platform, have seamlessly integrated the individual systems such as Microsoft Teams, which is what we mainly work with at the moment, Dynamics and SharePoint. The first training sessions are about to start so we will find out how the system is received by our employees. However, from what we have seen so far, we are convinced that the solution will make our daily work much easier!

Nora,what are the advantages of the implemented solutions for everyday life at the children's hospice?

Nora Fröhlich: Well, I could list several things... One huge advantage is, for example, is that the system is also very easy to use on a smartphone or tablet. Especially during ward rounds, staff members rarely take their laptops with them. In such cases, we recommend recording a voice message on a smartphone to document the patient visit.
